1. Who we are
HourGlass Works is a race timing company serving Western and Central New York. This policy covers hourglassworks.com and the information we handle when we time events. If you have questions, contact us using the details at the end of this page.
2. Information we collect
Information you give us
When you send a timing quote request or email us, we receive what you choose to share — typically your name, email address and details about your event such as the date, location, distance and expected number of participants.
Information from race registration
To time an event, race organizers provide us with participant information collected at registration, such as name, bib number, age or age group, gender and hometown. We use it only to produce timing and results for that event.
Information collected automatically
Like most websites, our web server keeps standard logs — IP address, browser type, pages requested and the date and time of the visit. We use these only to keep the site running and secure.
3. Race results
Publishing results is part of timing a race. Results we post may include a participant’s name, bib number, age or age group, gender, hometown, finish time and placing. Results stay available in our archive so runners can look back at past races.
Need a correction or prefer to be listed anonymously? Email information@hourglassworks.com with the race name and your bib number. We’ll fix errors and can replace your name with your bib number in published results.
4. How we use information
- To reply to quote requests and questions
- To time events and produce and publish results
- To keep this website working, secure and free of abuse
We don’t send marketing emails or newsletters, and we don’t use your information for advertising.
7. Security & retention
We take reasonable steps to protect the information we hold, including encrypted (HTTPS) connections to this website and limited access to registration data. No method of storage or transmission is completely secure, so we can’t guarantee absolute security.
We keep quote requests and correspondence only as long as needed to respond and for our business records. Registration data is kept as long as needed to time the event and handle questions about its results. Published results remain in our archive unless removal or anonymization is requested.
If a data breach affecting your personal information occurs, we will notify affected people as required by New York State law.
8. Children
This website is not directed to children under 13, and we do not knowingly collect information from them through it. Young athletes may appear in results using registration information provided by a parent or guardian through the race organizer. A parent or guardian can ask us to anonymize a child’s results at any time.
9. Your choices
You can ask us what information we hold about you, ask us to correct it, or ask us to delete it or anonymize your results. Email us and we’ll respond within a reasonable time.
10. Changes to this policy
We may update this policy from time to time. When we do, we’ll change the “last updated” date at the top of this page.
